The difference between an official transcript and a student copy often concerns how the document is issued and delivered, not merely whether it shows your grades. The receiving organisation decides what it will accept.
Read the delivery instruction
An application may ask for an uploaded copy for initial assessment, then require an official transcript sent directly by the awarding institution. Completing the upload does not necessarily complete the later verification stage.
University records services can offer separate routes. UNILAG’s official portal, for example, lists student-copy transcript applications alongside other records services. Check the route for your own institution rather than assuming the labels are universal.
Before ordering
Ask the receiver these questions:
- Is a student copy acceptable at this stage?
- Must the final transcript arrive directly from the university?
- Which office or digital system receives it?
- Is an applicant reference required?
- What deadline applies to receipt rather than application?
Give those instructions to the records office. Keep a copy in case a destination or document-type question arises later.
Handle the document honestly
Do not remove a “student copy” watermark or relabel a personal PDF as an official transcript. If the receiver requires a different document, request it through the authorised office.
If a sealed-envelope process applies, follow the receiver’s instruction about who may open it. Breaking a required seal can defeat the verification method even if the contents remain accurate.
Is a scanned official transcript always acceptable?
Not automatically. The receiver may care about verified direct delivery rather than image quality alone.
Can I use my student copy to check for errors?
Yes, it can help you identify a discrepancy early. Corrections still need to be made by the institution before an accurate official record is issued.
