How to Ask a Lecturer for a Scholarship Reference: Email Template

Ask for a scholarship reference early and make it easy for the lecturer to decide whether they can support you. A useful request explains the award, the deadline and how the reference must be submitted.

Choose someone who knows your work

Select a lecturer or supervisor who can discuss specific academic performance, research or responsibilities. A famous name is less useful if the person has no evidence to write about you.

Check the award’s referee criteria first. Some programmes require academic referees; others accept professional references. Do not list someone without asking.

Subject: Reference request for [scholarship] — deadline [date/time zone]

Dear [title and name], I am applying for [award/programme] and would like to ask whether you would be comfortable writing a supportive reference. I studied [course/project] with you in [session]. The award assesses [brief criteria], and the reference must be submitted through [official method] by [deadline]. I can provide my CV, statement draft and a short summary of relevant work. Please let me know if you are available. Thank you for considering the request.

Send a small evidence pack

Once the lecturer agrees, provide the official criteria, your accurate CV, relevant work and submission instructions. Include dates and outcomes they can verify. Do not write a false assessment for them to sign.

Track whether the application system has sent its invitation. A referee may not receive a link until you complete a particular stage, so check the portal rather than repeatedly asking whether they have finished.

How should I remind them?

Send a brief reminder with the deadline and submission link, allowing reasonable time. Avoid daily messages unless a technical problem requires coordination.

What if they decline?

Thank them and ask another eligible referee. A clear early answer gives you time to find someone who can write with confidence.
