When a university transcript is delayed, ask which stage is outstanding. A request can be paid for, prepared, approved, dispatched or received; these are separate milestones.
Build a five-stage tracker
List payment, application validation, record preparation, dispatch and recipient matching. Add a date and evidence beside each completed stage. Mark an unknown stage as unknown rather than assuming it has happened.
Start with the records office’s official tracking or enquiry route. Ask for a status that identifies the next action, not just a repeated “processing” response.
Follow-up message
“I applied for [document/programme] on [date], reference [number]. Payment is confirmed under [reference]. The latest update is [status]. Please confirm the outstanding stage, whether I must supply anything, and the dispatch reference if the request has left your office.”
Send the receiving institution’s address again if a destination problem is suspected. A single wrong character in an email can prevent a document from reaching the right office.
If it has been dispatched
Ask the receiver to search using your name, application reference and dispatch details. For electronic delivery, check whether the document is awaiting matching to your application rather than physically missing.
If the deadline is close, request written instructions from the receiver about a pending-transcript application. Do not assume it will accept a personal copy or grant an extension.
Should I submit a second paid request?
First ask whether a correction or resend is possible on the existing request. A second application may create more references without resolving the first problem.
What if the transcript contains an error?
Report the specific course, grade or identity discrepancy through the records office. Keep supporting evidence and ask whether a corrected official copy must be sent directly to the receiver.
